From Should to Can: How to plan content within your bandwith

by | Jul 10, 2025 | Content Creation

At Social U, July is all about content—how to plan it, simplify it, and stay consistent even when you’re busy or burned out. Let’s talk about what content creation really looks like for small businesses: the ideal versus the doable.

Start with Strategy, Not Stress

The most important thing you can do is plan ahead. A social media content calendar is a lifesaver. It doesn’t have to be fancy—a spreadsheet works just fine (we even offer a free template). What matters is having a plan in place so you’re not scrambling at the last minute.

Before you fill in that calendar, do a quick audit:

  • Are your links working?

  • Is your bio or about section up to date?

  • Are there any impostor accounts using your name?

  • Is your branding consistent?

And most importantly—are you spending time on the right platforms? If YouTube is performing but Instagram isn’t, shift your energy. You don’t need to be everywhere. You just need to be where it matters most.

Plan Around What Matters to You

Once your platforms are set, map out your month:

  • Add relevant holidays (hello, National Donut Day!).

  • Mark industry-relevant themes (mental health, back to school, etc.).

  • Use the National Days calendar to find creative tie-ins for your brand.

From there, decide how often you can realistically post. A great baseline is a two-week content rotation. For example, our calendar includes 6 categories you can tailor to your business. If you only post four times a week, pick your favorites and skip the rest.

Pro tip: It’s better to post consistently three times a week than to burn out trying to post daily.

Organize Your Inspiration

Don’t let good ideas slip away. Create a parking lot—a Google folder, Pinterest board, or doc—where you save:

  • Raw footage

  • User-generated content

  • Inspo posts

  • FAQs or client questions

Batching your ideas and content will save you hours later.

Remember the 80/20 Rule

All content should serve a purpose—but not every post should be promotional. Aim for this mix:

  • 80% educational, entertaining, or valuable

  • 20% promotional

That might look like how-to tips, behind-the-scenes moments, user spotlights, and occasionally a service pitch. If you’re providing real value, your audience will remember you when they’re ready to buy.

Posting Frequency: What’s Ideal vs. What’s Realistic?

Social platforms have big expectations—but that doesn’t mean you need to meet them all. Here’s a more realistic breakdown:

Platform Ideal Realistic
Instagram 3–5 posts/week, 1 reel/day, 2–6 stories/day 3 posts, 3 reels, 3 stories/week
Facebook 1–2 posts/day 1 post/day or less
LinkedIn 1 post/day Alternate between personal profile and business page
Pinterest Multiple pins/day Schedule a few times/week
YouTube 3 shorts/week + 1 long-form video 1–2 shorts/week, 1 long video/week
TikTok 1–3 times/day 3–4 times/week

What matters more than volume is consistency. Choose a schedule you can maintain and stick with it for 30 days. Then, review your analytics and adjust if needed.

Don’t Skip Scheduling

The easiest way to stay on track? Schedule your posts. Most platforms (like Facebook, Instagram, and LinkedIn) now let you schedule content directly. For Pinterest, Tailwind still works great.

Scheduling ahead of time means no more Tuesday-afternoon panic when you realize you haven’t posted. It also frees up your energy to focus on other parts of your business.

Making It Work for You

There will always be a gap between what’s ideal and what’s doable—and that’s okay. Give yourself permission to simplify. Use templates, plan ahead, and lean into the platforms that work best for you.

And above all, remember: consistency will always win over perfection.
